How WCOE DMV handles information through the regional website and member platform.

This Privacy Policy explains how WCOE DMV handles personal information through wcoe-dmv.org and related public and authenticated regional services (the “Platform”). WCOE DMV serves the regional DC-Maryland-Virginia community of Women Construction Owners & Executives. National membership eligibility, dues, and enrollment are handled through WCOE National and its systems; the regional Platform does not replace National membership records.

The Platform is in an initial launch and stabilization period. Features may be enabled progressively as account, permission, directory, content, and administrative workflows are tested and released.

1. Who is responsible for the Platform

WCOE DMV determines the organizational purposes for which visitor, member, company, access-request, and directory information is used through the Platform. Marketus Aurelius, LLC provides development, technical administration, configuration, maintenance, security, troubleshooting, and related technology services and generally processes Platform information on WCOE DMV’s instructions as a technical service provider. Marketus Aurelius, LLC does not determine national membership eligibility or dues and is not responsible for WCOE organizational policy, membership decisions, member-submitted content, sponsorship decisions, or event programming, except to the extent Marketus is separately engaged to provide technical or administrative support.

2. Information we may collect

  • Identity and contact information, such as name, email, phone, title, company, and business contact details.
  • Account and access information, such as account identifiers, invitations, access requests, approval status, company/member associations, login and security metadata, and acceptance of legal terms.
  • Member and company profile information, such as logos, websites, descriptions, capabilities, specialties, certifications, service areas, office locations, and directory-facing contact information.
  • Communications and submissions, such as contact forms, support requests, event or partnership inquiries, profile content, documents, links, photographs, and other authorized materials.
  • Technical and usage information, such as device/browser information, timestamps, IP-derived approximate location, error logs, security events, referring pages, and feature interactions generated by the Platform or service providers.
  • Membership-verification information obtained from WCOE or WCOE National when reasonably necessary to verify regional access.

We do not intend the Platform to collect Social Security numbers, payment-card credentials, medical records, government identification numbers, classified information, export-controlled information, or other high-risk data unrelated to ordinary association functions. Please do not submit such information.

3. How information is used

  • Operate, administer, maintain, secure, troubleshoot, and improve the Platform.
  • Create and manage accounts; authenticate users; process invitations, access requests, password resets, and support requests.
  • Verify regional access and associate users with appropriate companies or member roles.
  • Provide directory, profile, event, resource, sponsor/partner, spotlight, and other regional WCOE functionality.
  • Route inquiries and communicate about accounts, events, programs, security, and other WCOE DMV activities.
  • Measure basic Platform performance and usage, diagnose errors, prevent abuse, maintain audit/security records, and understand feature usefulness.
  • Comply with legal obligations, enforce Platform terms, protect rights and safety, and respond to valid legal process.

4. Member directory and visibility

The member directory is intended for authorized users and is company-centric. Information required internally for account administration is not automatically public or directory-visible. Directory-facing fields should be limited to information appropriate for professional networking and regional business connection purposes.

Directory information may not be scraped, bulk harvested, resold, used for unauthorized mass solicitation, supplied to data brokers, used to create unrelated contact databases, or used to train or enrich generalized AI or data products without authorization.

5. How information may be shared

  • With authorized WCOE DMV leadership, administrators, staff, or volunteers who need the information for legitimate organizational purposes.
  • With authorized members through the directory or portal according to applicable permissions and visibility settings.
  • With WCOE National when reasonably necessary for membership verification, coordination, or another legitimate WCOE function.
  • With technical service providers that support hosting, authentication, databases, storage, email, security, development, analytics, DNS, or related Platform functions. Current providers may include Supabase, Resend, Zoho, GitHub, Lovable or related hosting/development services, and domain/DNS providers.
  • When reasonably necessary to investigate misuse, protect users or systems, comply with law, or respond to valid legal process.
  • As part of an organizational transition, restructuring, or transfer of Platform operations, subject to appropriate confidentiality and legal protections.

WCOE DMV and Marketus Aurelius, LLC do not sell Platform personal information. The Platform is not intended to use member data for third-party behavioral advertising.

6. Cookies, local storage, and analytics

The Platform may use cookies, browser storage, or similar technologies that are necessary for authentication, session management, security, preferences, and basic operation. At launch, WCOE DMV does not intend to deploy third-party advertising cookies or cross-site behavioral advertising. Any analytics should be limited to reasonable operational measurement and should be reflected in the current Cookies & Analytics Notice.

7. Security and retention

WCOE DMV and its technical service providers use reasonable administrative, technical, and organizational safeguards appropriate to the Platform and the information processed. No website or online system can be guaranteed completely secure or continuously available.

Information is retained for as long as reasonably needed for Platform operation, WCOE administration, security, recordkeeping, dispute resolution, legal obligations, or other legitimate purposes. Retention periods may vary by data type and service provider.

8. Your choices and privacy requests

You may request reasonable access to, correction of, or deletion of personal information associated with your regional Platform account, subject to identity verification, operational needs, legal obligations, security requirements, and applicable law. Where a law provides additional privacy rights, WCOE DMV will respond as required when that law applies.

To make a privacy request or ask a privacy question, use the official Contact page and identify the request as privacy-related.

9. Children

The Platform is intended for adults participating in professional and organizational activities and is not directed to children under 13. WCOE DMV does not knowingly seek personal information from children under 13 through the Platform.

10. Changes to this Policy

WCOE DMV may update this Policy as the Platform evolves, laws change, or operational practices mature. The current version and effective date will be posted on the Platform. Material changes may also be communicated through account notices or other reasonable means.
